Currently, we are looking an accomplished Personal Assistant to support our Chief Operating Officer (COO). This high-visibility role requires a proactive, strategic thinker with a mastery of executive support functions and exceptional organizational and communication skills.
As the right-hand to the COO, you will play a vital role in driving executive efficiency, managing complex schedules, and supporting the execution of key operational initiatives across Zealand Pharma.
Responsibilities:
- Provide comprehensive executive support to our COO, ensuring seamless coordination of administrative activities.
- Serve as the primary point of contact for internal and external stakeholders, managing communications, prioritizing requests, and ensuring prompt responses.
- Proactively manage and anticipate the COO’s schedules, flagging critical meetings, deadlines, and potential conflicts.
- Lead the coordination of complex travel arrangements, including international itineraries, visa applications, and logistical details.
- Prepare high-level reports, presentations, and briefing materials for meetings and events.
- Handle confidential and sensitive information with the utmost professionalism and discretion.
- Oversee and manage special projects as assigned, including executive-level initiatives that require cross-functional collaboration.
- Act as a liaison between the COO and other senior leaders within the company, ensuring efficient communication and follow-up on key initiatives.
- Organize executive meetings, events, and off-sites, ensuring that all logistics and materials are prepared in advance.
- Handle budget management, including expense tracking, invoice processing, and reconciliation for the COO.
Qualifications:
- Extensive experience (5+ years) as a senior personal assistant or executive assistant supporting C-level or senior executives.
- Strong understanding of executive office operations, including meeting planning, travel coordination, and project management.
- High-level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools (e.g., Teams, SharePoint).
- Ability to manage multiple priorities and deliver under tight deadlines with minimal supervision.
- Exceptional written and verbal communication skills, with the ability to interact confidently with executives, board members, and external partners.
- Demonstrated ability to manage highly confidential information with discretion.
- Excellent problem-solving abilities and a proactive approach to managing challenges and opportunities.
