The role
As our Facility Manager you will be overall responsible for ensuring the functionality, safety, and efficiency of the building we work in. We have 4000 m2 with offices, laboratories and production in Ballerup where +70 people of more than 15 different nationalities are working under 1 roof.
You will create an overall strategy for the technical operations, maintenance and development of Sophion’s site in Ballerup. To implement this strategy, you will establish and lead a new in-house team of both internal employees and external consultants to manage our site.
You will oversee the daily technical operations of our site in good collaboration with in- and external stakeholders and manage the facility budget as well as our agreements with various external partners.
In addition, you will develop and manage in-house projects that will improve Sophion’s building and physical working environment: As project manager you interact with both various in- and external stakeholders on all levels to ensure that quality results are delivered in agreement with regulations, timelines and budgets.
You will work in Ballerup and report to our CFO.
Main Responsibilities
- Strategy: You will create an overall strategy for the technical operations, maintenance and development of Sophion’s site. You will collaborate with the management on the strategic work, but you will overall be responsible for implementing the strategy together with your team, in all the areas that you oversee.
- Daily operation leadership: You are overseeing in-house handyman/janitor tasks, surveillance of systems, IT, cleaning, canteen, plant care, reception, safety, some ad-hoc administrative tasks and management of external craftsmen and/or service providers that visit to solve problems that are outside your team’s area of expertise.
- Site management setup: Establish and lead a new team that will be a mix of internal resources as well as external consultants from various service providers. You and your team will be responsible for the functionality, operational efficiency and safety of the building we all work in.
- Project management: You also develop, plan and manage projects to optimize, develop or maintain our building’s safety, operational efficiency, comfort and/or functionality. You manage all stakeholders, ensuring coordinationof their efforts and clear communication with everyone from our landlord and local authorities over external advisors and craftsmen to the employees and managers of Sophion. Also, when it means taking on operational project leadership e.g. running daily morning meetings to structure and coordinate the work of various craftsmen.
- Collaborate and coordinate, particularly with the manager who is responsible for the area you work may relate to. For instance, coordinate with our lab manager on installation of new equipment in the laboratory, collaborate with HR on order and assembly of furniture for new employees, and agree with production manager on when to inspect installations of importance for manufacturing.
- Communicate to all relevant stakeholders about upcoming tests of alarms, visiting craftsmen, operational disruptions and related activities.
- Budget management for all your areas of responsibility: Planning, monitoring, following up on the budget and the services delivered by in-and external parties.
- Surveillance of systems: Administration, and monitoring and follow-up onof systems related to fire, building access, utility issues, ventilation system, equipment in laboratories and production. You are also the primary contact person in the case of an alarm on one or more systems.
- Occupational Health & Safety: Stay up to date with relevant rules and regulations on construction, fire, physical work environment and other topics. As a member of Sophion’s Occupational Health & Safety Committee you will contribute with your knowledge and experience to the work of the OHS committee.
- Support the executive management team and Occupational Health & Safety Committee with input, advice and analyses of opportunities to optimize the physical working environment at Sophion.
Key Qualifications
- Min. 2 years of leadership experience from a similar position e.g. as site manager or senior facility manager.
- Your educational background may be in construction management, carpentry, technology management & marine engineering, or another relevant field.
- Excellent project management skills and experience with leading dynamic and technically complex projects that involve numerous in- and external stakeholders.
- Knowledge of and experience with technical operations of a building with laboratory, production and offices.
- Solid understanding of HVAC systems and other technical installations, utility systems and safety automation are a must.
- Proven ability to balance operational leadership with project development and execution.
- Understanding of rules and regulations concerning fire safety, construction projects, physical working environment etc.
- Certified education or training in fire protection, working environment legislation and/or building regulations is a benefit.
- Fluency in English, both written and spoken, is a must.
