Are you structured, service-minded and good at keeping track of the details? Do you enjoy coordinating people, processes and customers – and making sure that things run smoothly?
At Axlab, we are an ambitious and growing international company. In collaboration with Actief Hartmanns, we are looking for a Service Coordinator to join our team and play a central role in coordinating service activities, managing service contracts and supporting our customers, service teams and external partners.
This is a role for someone who enjoys being the person who keeps things moving. You will have a broad range of contacts across the organization and will act as an important link between customers, Sales, Service, external service providers and other internal stakeholders.
Who are we
With our vision “Your Vision. Our Inspiration” we create real impact by implementing innovation that matters and creating tomorrow’s pathology labs. Axlab distributes and supplies advanced medical equipment and consumables with a focus on pathology to laboratories and hospitals primarily in Europe and the USA. Currently, Axlab distributes products from 21 suppliers, many of which are important strategic partners. We are approximately 70 colleagues, with more than half located at our headquarters in Vedbæk. The remaining colleagues are engaged in sales and sales enablement across Europe and the USA
The role
As Service Coordinator, you will be responsible for the administration and coordination of service activities throughout the customer and contract lifecycle.
You will work closely with both internal and external stakeholders to ensure that service agreements are correctly established and maintained, service requests are followed up, and customers receive professional and timely support.
You will also be responsible for our FSM (Field Service Management) system and will play an important role in ensuring that service-related information and processes are accurate, structured and up to date.
Your key responsibilities
- Manage and maintain customer service contracts in the ERP/FSM system, ensuring accuracy, completeness and timely activation, including renewals, amendments, SLAs and contractual obligations.
- Take responsibility for the FSM software and ensure accurate and efficient service administration.
- Coordinate service activities between customers, internal service teams and third-party service providers, including scheduling, follow-up and documentation.
- Act as the primary contact for external service partners, monitor performance against agreed service levels and contractual obligations, and resolve operational issues when required.
- Provide professional customer support and timely follow-up on service requests and inquiries.
- Support Sales and Service with contract-related documentation and administration.
- Coordinate service training activities.
- Identify opportunities to improve service coordination and administrative workflows, support best-practice implementation and ensure compliance with company procedures and quality standards.
What you bring
You have experience from a service-oriented administrative or coordinating role and enjoy working in an environment where you need to balance structure, customer service and multiple priorities.
We imagine that you have:
- Relevant education or training within administration, customer service, service coordination or a related field.
- Experience with service coordination, customer service, contract administration or a similar role.
- Experience working with ERP, CRM or service management systems.
- Good knowledge of Microsoft Office 365.
- Excellent written and spoken English.
More importantly, you are a person who takes ownership and follows things through. You are highly organized, structured and detail-oriented, while still being able to see the bigger picture.
You are proactive and solution-oriented, and you enjoy finding practical solutions when things do not go according to plan. You communicate clearly and build good relationships with customers, colleagues and external partners.
You are comfortable working independently, but you also enjoy being part of a team and collaborating across departments and cultures.
What we offer
We are a small yet ambitious growth company where our shared values — Decency, Innovation, Commitment, and Responsibility — form the foundation of everything we do.
We offer a flexible, hybrid, and trust-based full-time position where you will have influence on both your own role and the continued development of our Service & Customer IT function. Occasional travel activity must be expected as part of the role.
