PA/Team Coordinator to the Operations Department at BioInnovation Institute

As Personal Assistant and Team Coordinator, you will play a central role in supporting the COO, coordinating leadership, and ensuring high-quality management and board materials across the Operations function.
In this role, you will join the Operations department, which comprises more than 25 colleagues across four teams: Finance, Legal, Communications, and Program Management. Operations is a collaborative and high-trust function focused on enabling BII’s mission through strong strategic planning, governance, and operational execution. The role combines executive support with strategic coordination and communication.
Your Responsibilities Will Include
- Supporting the COO with calendar management, travel planning, meeting preparation, and follow-up actions
- Coordinating meetings and workshops across Operations, including preparation of agendas, materials, and follow-up
- Preparing high-quality presentations, briefing materials, and decision support for meetings
- Consolidating and coordinating management and board material across Operations teams to ensure timely, aligned, and high-quality deliverables
- Driving process improvements and cross-functional projects within Operations
- Supporting ad hoc operational tasks, team activities, and events across the four Operations teams, ensuring smooth coordination and execution where needed
- Managing stakeholder coordination and ensuring effective communication across BII teams
You will report directly to the COO and gain broad exposure across both Operations and the wider organization, with the opportunity to shape how coordination and management material is delivered to Operations teams.
Professional & Personal Qualifications
We are looking for a colleague who finds motivation in helping others succeed and who enjoys coordinating, supporting, and creating structure for the COO and operations team. Ideally, you bring the following qualifications:
- BSc or MSc in a relevant field (e.g., business administration, social sciences, law, etc.)
- Minimum 2 years of experience in a similar role (coordination, administration, PA/EA)
- Are highly proficient in Microsoft 365, especially PowerPoint, Word, Excel, and SharePoint
- Can independently prepare processes and presentations, briefing notes, and management material for senior stakeholders
- Have strong coordination skills and proven experience coordinating meetings and event activities
- Are proactive, service-minded, and solution-oriented
- Maintain attention to detail while keeping an overview of priorities and deadlines
- Proficiency in English at a professional level, both written and spoken
In addition to the above, you are comfortable managing multiple priorities with discretion and attention to detail. You thrive in a fast-paced environment with many stakeholders and take pride in creating structure, anticipating needs, and ensuring smooth coordination and high-quality delivery across tasks, schedules, and stakeholders.
