The BioInnovation Institute Foundation (BII) is looking for a new colleague, who will support our Operations team with administrative processes and deliveries to the organisation. As Operations Team Coordinator you will be part of the Operations department consisting of 4 teams: Finance, Legal, Communication and Programme Management team and +18 persons. Operations is a group of passionate people with diverse backgrounds, experiences and aim to enhance BII’s vision.
Your Opportunity to Join BII
You will be providing administrative support for the Operations department and collaborate with teams and other departments on a continuous basis to ensure smooth processes and deliverables. Further to this you will help coordinating and planning meetings across the department and support our Chief Operating Officer (COO) with calendar, meeting and travel handling.
Your ownership of our mutual journey will be to:
- Maintain internal and external communication with different stakeholders. Collaborate with teams, specialists, and other coordinators
- Manage the calendar and travelling for Chief Operating Officer (COO), Pui Ling Lau who will be your manager
- Managing meeting schedules and coordinating workshops
- Prepare presentations on various strategy matters
- Prepare different agreements and contracts with our stakeholders
- Manage ad hoc projects
- Support wider organization with ad hoc tasks
You will join Operations department with many external stakeholders and report to the COO. You will be given the opportunity to develop and shape your role.
Your Professional & Personal Spirit
We are looking for a candidate, who have at least 2 years of experience within a relevant support function. You can come from various educational backgrounds, but the main part we are looking at, is that you thrive in a coordinating role and are an administrative expert. Administrative planning, project management, developing and optimizing processes are your areas of expertise, and you see yourself as service minded.
Furthermore, we expect that you have:
- A strong command of Microsoft Office and knowledge of SharePoint is an advantage
- Strong capability in preparing PowerPoint-presentations and notes for management
- Preferably fluently in English, both spoken and written
- A positive, outgoing, solution and service-minded approach to work
- Ability to pay attention to details in planning and execution, while maintaining an overview
- An open and honest personality with strong interpersonal skills, and a collaborative, proactive mind-set
You appreciate being in a supporting role where you can contribute to a wide range of activities. As a person, you are professional and comfortable working independently and in a structured manner but enjoy collaborating in a team environment.
